The registration form on this page applies only to higher education institutions and higher education conference presenters. Corporate partners must register for the conference by purchasing an exhibit booth or joining us as a non-exhibiting corporate partner (when available).

Registration Policies

All registrations must be paid in full prior to the start of the conference. Individuals who register using a purchase order are considered fully registered and will be subject to substitution and cancellation deadlines and fees. However, a purchase order does not constitute payment. All purchase orders are due upon receipt of the invoice and must be satisfied by check or credit card prior to the first day of the conference. If purchase orders/checks are not paid by July 31, they will be rebilled at the regular registration rate. Checks must be made payable to CUPA-HR and sent to CUPA-HR, P.O. Box 306257, Nashville, TN 37230-6257.

Registrations that still carry a balance due after registration closes on September 18 are considered cancellations and will be notified as such. Those registrations will be invoiced for the full cancellation fee of $100. Should the unpaid participant attend the conference, he/she will be required to pay the on-site registration fee by credit card or check, but will no longer be subject to the cancellation fee. CUPA-HR is unable to accommodate exceptions.

Substitutions can be made, although a $25 administrative fee is required.

Workshop and Conference Cancellations received:

  • Through July 31, the advanced registration deadline, will be processed with no cancellation fee.
  • From July 9 through September 18, the online registration deadline, will be accepted with an administrative fee of $100 for conference cancellations and $25 for workshop cancellations.
  • After September 18, CUPA-HR will be unable to refund registration payment for workshops or the conference. In such cases, no additional administrative fee will be charged.

No-shows occur when individuals register but do not attend the conference. No-shows are not eligible for a refund.

Event Policies

All attendees of events hosted by CUPA-HR agree to comply with all rules and conditions of those events.

Conference Badges — Your Ticket to Activities
After checking in at the Conference Registration and Information Desk, your badge is your pass to all scheduled conference activities. You must wear your badge to be admitted to events. You will be denied entry or required to pay an extra fee if you don’t display your badge.

Minors at the Conference
Everyone who attends the CUPA-HR Annual Conference and Expo must be registered and have a badge. Badges for minors (under age 18) are complimentary and may be obtained at the CUPA-HR Registration and Information Desk. Individuals age 18 and over must pay advertised registration rates. Minors’ badges do not offer access to any off-site activities. Minors must be accompanied by an adult at all times. Guardians are asked to help maintain a professional, disturbance-free environment. Minors (under age 18) are not allowed in the Expo Hall during set-up or dismantle hours. No one under the age of 21 will be served wine, beer or any alcoholic beverage at any CUPA-HR gathering.

Code of Conduct
Attendees must behave responsibly at all events. Threatening physical or verbal actions; disorderly or disruptive conduct; and harassment, sexual or otherwise, will not be tolerated. Such behavior may result in removal from the meeting, denial of access to meeting facilities, and other penalties. Conference fees will not be refunded if one is removed from the conference as a result of violation of this code.

Indemnification Statement
Event attendees voluntarily assume all risk and danger of personal injury and all hazards arising from or related in any way to the meeting, whether occurring prior to, during or after the meeting.

Before You Accept an Invitation …
Review any applicable institutional or other guidelines regarding gifts received from vendors. If you have questions about the value of a meal or gratuity, please contact the exhibitor/sponsor. If you choose to participate in a corporate partner-sponsored event that does not comply with institutional guidelines, you may be required to take steps to remedy the situation. Exhibitor giveaways and drawings are permitted at the CUPA-HR Annual Conference and Expo. Giveaway and drawing prizes must be limited to a market value of $150 or less.

Photography and Video
A photographer or videographer may be present at events and sessions. Photos and videos may be used in promotional materials for CUPA-HR. Other recording or photography at conference sessions is prohibited unless prior consent has been obtained from CUPA-HR.
